Studio Manager

About the role
We are looking for a mid-to-senior operations professional who runs the day-to-day operational infrastructure of the studio. Owns onboarding and offboarding, tool and subscription management, scheduling and utilization, contracts and legal coordination, meeting operations, PTO coordination, and the operational documentation that holds it all together. Reports to the Director of Operations and works closely with leadership and the department directors daily. This is not an executive assistant role; this is the connective tissue of a 30+ person global team.
Responsibilities
Run onboarding and offboarding end-to-end: email setup, tool and login provisioning, first-week orientation, access revocation
Coordinate contracts and legal paperwork: SOWs, NDAs, contractor agreements, coordination with our attorney, contract file organization
Manage tools and subscriptions across the studio: AI tools, Miro, Warp, QuickBooks Time, seat tracking, renewals, credit top-ups, cost hygiene
Coordinate scheduling and staff utilization: calendar coordination across time zones, utilization tracking, flagging over- and under-allocation, keeping the team scheduled against live work
Run meeting operations: notes, action items, follow-up circulation, keeping the project list current for the weekly project overview meeting
Coordinate PTO and team logistics: intake, tracking, holiday coordination, balance management
Maintain operational documentation: SOPs, team handbook, process documentation as the company evolves
Identify operational gaps and close them without being asked
Must have
3+ years in studio management, office management, operations coordination, or a similar role
Strong organizational instincts: you make lists, follow up, and close loops without being prompted
Excellent written communication: clear, direct, professional across Slack, email, and documentation
Detail-oriented and reliable: small things do not slip through the cracks
Comfortable in a fast-moving, distributed team where things are not fully defined
Self-directed: you can manage your day and priorities without supervision
You spot gaps before they become problems
Nice to have
Experience at a creative agency, design studio, production company, or post house
Experience coordinating contractor-heavy teams or international contributors
Familiarity with project management tools (Asana, Notion, or equivalent)
Light familiarity with US contract paperwork (SOWs, NDAs, contractor agreements)
Experience running operational rhythms like weekly project meetings or status reports
Stack / Tools
Slack, Notion, Google Workspace, Miro, QuickBooks Time, Warp, and a range of AI tools across the studio.
